WHAT EVERY TRAVEL AGENT AND TOUR LEADER SHOULD KNOW ABOUT GROUP TOUR PLANNING AND BUILDING

1.FOR YOUR PROTECTION, GET TO KNOW YOUR TOUR OPERATOR (A no answer to any of the following is a tip-off that you could be placing yourself in an unsafe, untenable or compromising position):

  • Are they financially strong and stable? Are they dependable?

  • Do they provide a comprehensive CONSUMER PROTECTION PLAN?

  • Do they serve a variety of destinations to serve your needs from year to year?

  • Do they continually add new ones and update their web site?

  • Have they been in business long enough to establish continuity, stability and a consistent quality of service?

  • Are they a full-service wholesale and receptive operator?

  • Do they escrow your tour funds in the bank? Do they carry ERRORS & OMISSIONS INSURANCE?

  • Do they respond to complaints in a timely manner?

  • Do they sell TRIP CANCELLATION and TRAVEL INSURANCE?

  • Do they consistently provide quality and fair value?

  • Are they members of travel organizations dedicated to ensuring reliable service?

  • Do they use suppliers known for reliable service?

  • Do they have professional tour planners?

  • Does the manager have a proven track record as a manager in the leisure travel industry? Is he/she the owner of the company?

  • Do they have reasonable deposit, payment, and cancellation policies?

2.QUALIFYING AND COMMITING YOUR CLIENT

Your client must be one who is sincere, conscientious, and willing to take the time to work tirelessly and expeditiously on the tour from beginning to end. The person, or committee, you work with must have the responsibility and authority to make and direct all decisions affecting the tour. Going through a middle person often muddles communication and can cause a tour to fail. We request that you designate one person in your office to be your liaison with TourMasters. For simplicity and fairness, we will reciprocate by appointing one of out professional group specialists as our liaison with you. Our expertise, coupled with your commitment, is bound to create a successful tour.

3.LEAD TIME

Eight (8) to twelve (12) months lead time with consistent marketing and selling to various sources of people are needed to plan and build a tour. Less time & effort will jeopardize your ability to sell the tour and can affect procurement of the best seats, best hotel rates, attractions, even the best performers in some cases. Be realistic in considering a group tour: You need adequate time to build the group, collect the money and send in the deposits(s) and final payment before the tour starts. We require a planning fee at time of booking, a deposit 65 days prior to departure and the full balance 45 days prior to departure for all tours.

4.YOUR BEST PROFITS

We welcome all groups, both large and small. Group rates start at twenty (20) paid people. Your best profits are with groups of forty (40) or more paid people. We also offer special rates for individual parties of 6-19 people.

5. MARKETING SOURCES: CONSIDER THESE SOURCES FROM WHICH YOU MAY FIND CLIENTS FOR THE TOUR

  • Outside sales people

  • Bulletin boards at businesses and government offices

  • TV/radio commercials

  • Set up a weekend VCR presentation at a shopping center (center Island or vacant unit)

  • Targeting physically challenged groups, Independent travel groups or clubs and large firms, that offer employee Incentives.

  • Presentations to Senior Citizen clubs, Businesses, Churches or various other local community groups.

  • Local school/university faculty travel department

  • Newspaper ad (travel section), followed by a reception and VCR presentation at a hotel

  • Your own direct mailing list for brochures, mail outs, e-mail, broadcast faxing, or direct phone calls

  • Internet web pages

6. APPLES TO APPLES

In requesting price quotes from different Tour Operators, be sure that you give each Operator the same information (same season of the year, trip itinerary and inclusions) so you will be comparing APPLES TO APPLES. To give different information to each Operator will end up in your comparing APPLES TO ORANGES which would limit your ability to reach a fair comparison and value for the price you pay and could cause you to loose your client to a competitor.

7. CONTINUITY WITH THE TOUR OPERATOR

Does the operator specialize in a variety of destinations? If your tour with them was successful this year, and you are planning another tour next year, you may want to work with the same operator again. Knowing that the operator is dependable, and that they have a variety of destinations to meet your needs, makes your job a lot easier.
